Support preparation, not regulatory judgement

Quality documents require controlled processes, trained reviewers and organisation-specific procedures. PDF Guard does not decide whether an SOP, CAPA, deviation or validation record is compliant. It provides a local preparation layer: extract available text, OCR older scans, compare the text with an expected-section list and surface abbreviations for contextual review. The responsible quality function must examine the original record, its status, signatures, linked evidence and applicable requirements.

Checklist-based SOP review

A useful SOP first pass might look for purpose, scope, responsibilities, definitions, procedure, references, revision history, effective date and approval. Select the SOP checklist and adapt it to your controlled template. A found label only shows that related wording appears in the extracted text. It does not prove that the section is adequate, current or approved. An unclear label often means the heading uses different terminology or OCR split the words.

Legacy quality records and OCR

Printed records, equipment documents and archived protocols are frequently available only as scans. Local OCR can make clear English pages searchable without creating another uncontrolled upload copy. Recognition may confuse batch identifiers, decimal values, handwritten entries, signatures or stamps. Verify every critical identifier and measured value visually. For long validation packages, divide the material into logical controlled documents rather than feeding an entire archive into one browser session.

Abbreviations in context

The maintained glossary explains common terms including SOP, CAPA, NCR, IQ, OQ, PQ, FAT, SAT, GxP, GMP, QMS, QA and QC. These explanations are orientation aids, not controlled definitions. Your quality system, validation plan or contract may define a term differently. Unknown uppercase codes are listed without an invented expansion. Use the result to find where definitions are missing or where a reviewer should consult an approved glossary.

Examples of appropriate use

Teams can use PDF Guard to prepare an SOP completeness review, assemble questions for a CAPA record, check whether a deviation document appears to name an owner and due date, or find expected validation headings before formal review. Missing-signature language can be flagged only when searchable or recognised text mentions it; the tool cannot authenticate a handwritten or digital signature. It also cannot verify attachments that are not inside the selected document.

Document confidentiality

The current checker runs PDF parsing, page rendering, OCR and analysis in the browser. It does not send document bytes, recognised text, checklist wording or detected values to InYourTab, an external model or analytics. That architecture reduces an avoidable transfer, but it does not replace your organisation's access controls, device security, records policy or approved software assessment. Use only in accordance with your own quality and information-security procedures.
