Use the controlled template
Identify the required SOP structure for the applicable quality system. Common sections include purpose, scope, responsibilities, definitions, procedure, references, revision history, effective date and approvals, but your organisation may require different evidence. Copy those expected headings into a review checklist. Do not treat a generic internet template as the governing requirement.
Make the document readable
Extract embedded text from a digital PDF or apply OCR to a clear legacy scan. Review page count and the extracted text before checking headings. A scan can visually contain a section while OCR fails to recognise it, and headers can be repeated on every page. PDF Guard performs the extraction locally so the controlled document is not uploaded merely for this first pass.
Review each detected section
A heading match is only evidence that the words appear. Open the source page and confirm that the section contains usable, current information. Check whether responsibilities identify roles, whether steps are unambiguous, whether references are applicable and whether revision and approval information align with the controlled copy. PDF Guard does not perform those quality judgements.
Resolve unclear or missing results
Search for alternative headings and synonyms. Confirm that OCR did not split or misread the phrase. If the section is truly absent, follow the document-control process rather than editing an uncontrolled downloaded copy. Record the issue, owner and resolution under the organisation's approved review procedure. An automated report can prepare questions but should not become an approval record by accident.
Check terminology and abbreviations
Review whether abbreviations are defined on first use or in an approved glossary. Terms such as SOP, CAPA, NCR, IQ, OQ, PQ, GMP and QMS can be familiar to one team and unclear to another. PDF Guard lists likely abbreviations locally and offers limited reading aids. The controlled definition and qualified reviewer remain authoritative.
Open the relevant PDF Guard tool. The working document and extracted text remain in your browser.
