Common Pharma QA Abbreviations Explained

Quality documentation uses familiar shorthand, but every term should still be interpreted within the governing procedure and organisation.

SOP, QMS and GMP

SOP means Standard Operating Procedure: a controlled instruction for a repeatable activity. QMS means Quality Management System: the connected policies, processes and records used to manage quality. GMP means Good Manufacturing Practice: principles intended to ensure products are consistently produced and controlled. These short explanations help a reader orient themselves; the applicable regulation, procedure and approved glossary provide the operational meaning.

CAPA and NCR

CAPA means Corrective and Preventive Action, a structured approach to correct a problem and reduce recurrence. NCR usually means Non-Conformance Report, a record of material, work or a result that did not meet an expected requirement. Organisations differ in terminology, workflow and record relationships. A document checker can locate the abbreviations and expected headings but cannot judge root-cause quality or action effectiveness.

IQ, OQ and PQ

Installation Qualification documents that equipment or a system was installed as specified. Operational Qualification documents operation across defined ranges or functions. Performance Qualification provides evidence of effective performance under intended or routine conditions. The exact strategy depends on the validated state, risk assessment and approved plan. The presence of an IQ, OQ or PQ heading does not prove adequate evidence.

FAT, SAT and GxP

Factory Acceptance Testing is generally performed before equipment leaves a supplier. Site Acceptance Testing follows installation at the destination. GxP is a collective label for regulated good-practice areas, with the middle letter changing by context. Contracts and validation plans may assign specific acceptance criteria, responsibilities and records, so use the document's own definitions.

Build a reliable glossary

Extract likely uppercase terms, remove product codes and ordinary headings, then compare the list with approved definitions. Define unfamiliar shorthand on first use and keep the expansion consistent. PDF Guard can create a local abbreviation list without uploading the document. Unknown items are intentionally left for contextual confirmation rather than matched to the first generic expansion found online.
