How to Check a PDF for Missing Information

A completeness check works best when you define what the document should contain before looking for gaps.

Define complete for this document

Write down the fields, sections, signatures and attachments required by the actual process. Use a controlled template, application instruction or receiving checklist where one exists. Avoid vague items such as “everything correct.” A useful item names visible evidence: document title, reference number, effective date, owner, approval, referral reason or supporting attachment.

Extract readable text

Digital PDFs usually contain text objects that a browser can read directly. Scanned PDFs require OCR first. PDF Guard performs both steps locally and displays the extracted text. If OCR is used, check whether important labels and numbers were recognised correctly. A missing-text problem must be resolved before a text-based completeness result can be trusted.

Interpret found, unclear and missing

A found label means the phrase or most of its significant words appear in the extracted text. It does not mean the value is correct or sufficient. Unclear means some evidence appears but needs inspection. Not detected is a prompt to check the original page, alternate wording and any separate attachments. Never reject an important document solely because an automated text match failed.

Review evidence in context

Look at the relevant page, confirm that the field contains a value and check whether the value belongs to the expected section. A document may mention “signature” in instructions while the signature box is blank. It may list an attachment in a table without including the attachment. Completeness combines detection with human verification.

Keep an accountable record

Resolve each unclear or missing item through the normal workflow. PDF Guard can download a JSON review report, but that report is not a validated quality record unless your organisation has assessed and controlled its use. Store it only where permitted. The original PDF remains unchanged and the browser working session is cleared when you refresh or close the tab.

Ready to try it?

Open the relevant PDF Guard tool. The working document and extracted text remain in your browser.
